Operations Coordinator

Serena & Lily is seeking a Junior Operations Coordinator to join our team. This person will champion continuous improvement efforts, while maintaining and enforcing all operational policies and procedures across our customer care team and retail design shops. The role will work closely with cross-functional teams including logistics, warehouse, finance, and IT, as well as outside vendors and partners. Maintaining and building strong relationships is key. This position requires a passion for operational excellence, a drive for results, and the ability to quickly and efficiently lead through unforeseen complexity.

Essential Duties & Responsibilities:

  • Act as a resource and subject matter expert on operational policy and procedures to ensure consistent and appropriate application.
  • Provide project management support and follow-up to ensure adherence to timelines
  • Review and audit design shop and customer care special orders for proper completion and payment.
  • Review exception reports regularly, identify and resolve discrepancies in partnership with design shop leadership and customer care leads.
  • Proactively notify design shops and customer care of changes to special order delivery ETA’s and backorder replenishment dates.
  • Address special order concerns, trouble shoot errors, provide timely feedback on service failures and follow up on escalations.
  • Document warehouse shipping errors reported by design shops and customer care.
  • Support in compiling and auditing monthly store inventory adjustments, and deposit reconciliations.
  • Support in coordinating design shop collateral shipments and deliveries, ensuring their timely arrival
  • Manage Contact List updates and changes.

  • Strong attention to detail with solid organization skills and proven ability to multi-task
  • Ability to prioritize and execute tasks efficiently.
  • Ability to take initiative and perform tasks in a self-sufficient manner, consistently meeting goals and deadlines
  • Proficient with all Microsoft Office programs, specifically Microsoft Excel
  • Willingness and availability to travel as needed

Qualifications:

  • Minimum 1-2 years of previous operational experience
